Organising a corporate team photoshoot (without losing your mind)

Been put in charge of updating the corporate team photos?

Booking a corporate team photoshoot can feel a little bit like herding cats - but with a good plan, it’s actually one of the easiest ways to instantly level up your brand image, in a way that’s consistent, cohesive - and as stress-free as possible! Whether you’re after polished headshots, a new team photo, or candid working shots for your website, I’ll make it feel relaxed, efficient, and (dare I say) even a bit fun (especially if you love a good dad joke - and come on, I know you do).

Here’s exactly how it works when you book in with me for professional headshots for a corporate team!

Step one: Plan ahead
It all starts with good planning across the board. The biggest question is - what exactly are you after from your photoshoot?

  • Are you after classic headshots of each team member?

  • A big group photo?

  • Action shots of your team in their element?

Understanding what you need helps me tailor everything - from lighting setups to key shot lists - to get the best out of the day. It also means that I get all the shots you need with no muckaround.

If your team is bigger than 10 people, onsite shoots work best. I’ll bring a full mobile studio setup (think lighting, backdrop, and all the gear), so we can create professional-quality images right at your office without the logistical nightmare of moving everyone (because that really is like herding cats).

Get in touch, we’ll chat logistics, lock in a date and location, and go into the shoot with a thorough plan.

Step two: Get the team ready
Nothing worse than someone springing photos on you when you haven’t had time to prepare! Make sure everyone knows about the shoot in advance, so they can arrive looking ready (and not accidentally double book themselves into a meeting). Some handy prep tips:

  • Share an outfit guide with your team - let them know what style of outfit they should be wearing, and give them an idea of colour palette. Solid colours always work better than busy prints. If you have a uniform, make sure they’ve given it a good clean pre-shoot so it’s looking tidy and professional.

  • Pick a day when most people will already be around - no scrambling to track down Steve from Accounts.

  • Block out calendar slots for the headshots - so things are locked in!

  • If you’re doing working shots, tidy the office just a little (you don’t need a full Marie Kondo, promise - just stash clutter away in cupboards and keep any private documents out of sight).

Step three: Shoot day!
On the day, it’s about keeping things light, fast, and fun! I know you all have work to get back to - so corporate headshots are all about speed and efficiency, without giving up on quality. It pretty much involves:

  • A quick warm-up chat with each person so they feel relaxed

  • Fast-paced headshot sessions

  • Group photos while everyone’s feeling sharp (and before anyone runs away!)

  • Casual, candid behind the scenes shots if requested

I’ll guide everyone through easy posing, crack a few bad jokes, and make sure nobody feels stiff or awkward. You’ll be amazed at how quickly we can get a full set of professional images ready.

Why investing in professional team photos matters
Great photos help you:

  • Build trust with clients and partners

  • Present a unified, professional face to the world

  • Make your internal culture visible and tangible

And let’s be honest - everyone looks better under good lighting with a professional behind the lens. I’ve got you!
